Records Management Program Analyst

Position Description

Do you have experience coordinating records management? Are you enthusiastic about contributing to the management of documents and retention, while complying with City, State and Federal requirements? If so, this might be the role for you!
 
 Tacoma Power is looking for a skilled and experienced Records Management Program Analyst to join Power Generations' Business Systems team. This position contributes to the mission of the organization by developing, auditing, and analyzing records management needs within Generation. Additionally, this position will assist with SharePoint coordination for the Project Delivery and Support Services group.

Responsibilities Include: 
  • Business Operations Activities:
  • Develop, audit, and analyze records management needs of the Generation Business unit. 
  • Evaluate documents for retention compliance with City, State and Federal requirements. 
  • Review, analyze and implement changes to document retention Policy #1.3 as approved by City, State and Federal requirements. 
  • Provide Support and subject matter expertise for records management for all of Generation Business Unit.
  • Prepare instructions and process documentation and training (either group or one-on-one training) related to records management.
  • Assist Generation employees with SharePoint Online, training, and development.
  • Support and process Public Disclosure Requests as needed.
  • Participate in creating, testing, and implementing of new processes and process improvement teams to assure the best customer value and proposed improvements.
  • Gather, assemble, analyze, and evaluate facts to draw logical conclusions and make proper recommendations
  • Prepare clear, concise, and comprehensive written reports which require displaying and presenting statistical, graphical, and other reporting methods to audiences of varying technical sophistication.
  • Provide regular and ad hoc data analyses and reports as needed.
  • Technical Records Management:
  • Process and Archive New Paper Records for off-site storage
  • Consolidate and inventory off-site records, process records destruction as needed.
  • Maintain and Coordinate Engineering reports and manuals kept in Engineering Library.
  • Maintain and coordinate electronic files kept in photo and video databases.
  • Digitization of paper files according to City, State and Federal requirements
  • Communication:
  • Effectively communicate both verbally and in writing including the compilation of reports, presentations, and records.
  • Develop and maintain productive relationships with groups and individuals and interact respectfully and sensitively to facilitate results.
  • Maintain excellent customer service, respond to changing customer needs. 
  • Participate and facilitate operational change management needs as pertains to Records Management.
  • Participate in Records Management training, Conferences, and meetings
Qualifications
DESIRABLE QUALIFICATIONS:
  • Two years analytical, database, spreadsheet and/or financial experience*
  • Associate’s degree or equivalent related work experience*
  • Records management experience preferred
  • Public sector or utility experience preferred

 *Equivalent combination of education and years of experience may be substituted

LICENSING, CERTIFICATIONS AND OTHER LEGAL REQUIREMENTS
  • Depending upon assignment a WA driver's license may be required
