VandalStar Coordinator

Position Title: VandalStar Coordinator
Position Summary:
Reporting to the Lead Advisor (Retention) and working with University Advising Services leadership, the VandalStar Coordinator champions, builds networks, facilitates, and supports the implementation of the VandalStar campus-wide student success/retention support software (Hobson’s Starfish).
The VandalStar Coordinator coordinates and supports daily system operations, maintenance, implementation and design of tools, internal and external marketing and communication planning, and training for VandalStar.
 
Job Duty Function 1: 45%
Support VandalStar operations by:
·        Coordinating all functional VandalStar system-related activities such as: set up, daily and long-term (e.g. semester) system maintenance, upgrades, testing and development of functional area specifications, interfaces, security, and functionality to support implementation and ongoing use;
·        Monitoring and maintaining Starfish internal communications, templates, HTML coding for all functional system features, tracking items, and services each semester in coordination with Student Success Coordinator and Lead Advisor (Retention), as appropriate;
·        Developing and testing to appropriately adopt new system features;
·        Coordinating with university IT units and Hobson’s for system support;
·        Providing end user support by monitoring and replying to internal communications (e.g. VandalStar email and phone line) and coordinating with Student Success Coordinator and Lead Advisor (Retention), when appropriate;
·        Working in coordination with Lead Advisor (Retention) and Student Success Coordinator to identify areas for continuous improvement and integration of VandalStar, updates to support student success initiatives and advisor needs, and stay abreast of new technology and trends to support advising and retention efforts; and
·        Attending Hobsons annual conference, as budget allows.
 
Job Duty Function 2: 40%
Support VandalStar adoption by:
·        Preparing and maintaining a campus-wide external communications and marketing plan to partner with campus units to increase the visibility and adoption of VandalStar by students, faculty, and staff;
·        Collaborating with the Student Success Coordinator to create and distribute marketing and communication materials;
·        Leading individual and group trainings for users;
·        Collaborating with the Student Success Coordinator to create and maintain training materials;
·        Collaborating with the Student Success Coordinator to maintain the VandalStar website and create/update shared user documents, including troubleshooting guides and videos, to support end user navigation of VandalStar tools; and
·        Preparing and administering end user surveys to all faculty, staff, and students to better understand system use and areas for improvement.
 
Job Duty Function 3: 10%
Support University-wide student retention and graduation programming by:
·        Working with University Advising Services leadership and Student Success Coordinator to support implementation of current initiatives (e.g., early warning grade and midterm grade processes);
·        Working with Lead Advisor (Retention) to effectively collect and assess data to evaluate, adjust, and/or improve programs and initiatives, as needed
·        Providing timely updates, progress reports, and summary statements to Lead Advisor (Retention);
·        Assisting Lead Advisor (Retention) in researching and communicating assessment data; and
·        Working with University Advising Services leadership and Student Success Coordinator to support development and implementation of new and novel initiatives (i.e., programs and/or events).
 
Job Duty Function 4: 5%
Contributes to team effort by:
·        Attending and participating in staff meetings;
·        Contributing to a pleasant work environment and maintaining a professional demeanor;
·        Demonstrating a willingness to consistently work with co-workers and supervisor in an effort to successfully achieve mutually sought goals for the unit; and
·        Performing other duties as assigned.
 
Required Qualifications:
·        Bachelor’s degree with two (2) years of relevant experience.
·        Experience in project management.
·        Experience in data gathering and analysis.
 
Preferred Qualifications:
·        Master’s degree.
·        Experience with Hobson’s Starfish or a similar enterprise student success and retention solution.
·        Experience working in a higher education environment.
·        Experience with web page development and maintenance.
·        Experience utilizing critical thinking and problem-solving skills.
·        Experience in successfully communicating verbally and in writing.
·        Knowledge of University of Idaho academic rules, regulations, and procedures for undergraduate level advising.
·        Ability to work cooperatively as a team with a variety of people, including students, staff, faculty, and administrators.

Physical Requirements & Working Conditions
Ability to lift or otherwise move up to 30 pounds. Willingness to travel and to work selected evenings and weekends.

Degree Requirement
Listed degree qualification is required at time of application.
