The Idaho State Department of Agriculture is recruiting for a Technical Records Specialist 1 in the Plant Industries Division located in Boise.
Provides a variety of records support functions; reviews and processes documents; determines and explains compliance with laws, rules, regulations and policies and takes appropriate action; maintains a manual or computerized records system; performs related work.
Example of Duties
Key Responsibilities:
- Maintain Field Inspection (MAPS) program for Treasure Valley seed crops
- Enter all initial information submitted on application forms/accept MAPS applications.
- Enter all requested diseases (verifying any new or questionable requests).
- Enter all inspection dates and information.
- Audit all maps to make sure all information in program is correct.
- Print end-of-season crop inspection report and mail to companies.
- Entering weights from returned crop inspection reports and issue state numbers.
- Maintain filing of field inspection records.
- Updating Field Inspection Manual (Pink Book) and Phytosanitary Manual (Green Book) putting them together and mailing out.
- Field Inspection Program
- Participates with interviews for temporary field inspectors, assists in training for temporary field inspectors, assists in training inspector supervisors for daily routing of crews and assists with paperwork processing.
- Provide support to the Division of Plant Industries
- Answering phones.
- Assist with passing out mail.
- Check fax machine and stamp certified true copies as necessary.
- Provide back up support for the Phytosanitary Program
- Assist as need be in retrieving the Phytoline message system and emailing it out.
- Assist in typing Phytosanitary Certificates, understand the flow: logging in, inventory, issuing phytos both federal and state, printing, copying, mailing, logging out, second inventory, and filing for monthly billing.
- Assist with phyto inventories, blends and sales.
- Assist with billing as able: numerical order of certificates, checking off report, counting, stuffing envelopes, sealing and stamping.
- Hops Program
- Type Hops certificates and enter information into the tracking report.
- Print Hops certificates and distribute to customer.
- Audit and print reports for record keeping and print billing data for the TRS2.
- Tally monthly production and submit required reports to USDA FGIS.
- Feed & Fertilizer Program
- Provide assistance with filing and data entry.
- Pack and mail collected official samples to the ISDA Feed and Fertilizer Laboratory.
- Invasive Species Program
- Provide assistance with filing and data entry.
- Assist with Marketing Outreach materials.
- Other Duties as assigned
Minimum Qualifications
These qualifications are mandatory requirements.
Experience:
- Monitoring a records system to identify and correct errors;
- Researching a variety of sources to resolve problems;
- Interpreting, explaining and applying regulations, laws, or complex policies to carry out assignments;
- Entering and retrieving data using a computerized records system.
Specialty Qualifications: These qualifications are mandatory requirements.
- Experience using spreadsheet software.
- Some knowledge of bookkeeping practices.
- Experience typing 40 words per minute.
- Experience using word processing software to create and modify documents.
- Some knowledge of financial record keeping.
