Position Summary
The Associate Director of Enrollment Services is an exempt position that works under general direction, reports to the Director of Enrollment Services, and is a member of the Student Central Leadership Team. This position supports and assists the director in administration of the Enrollment Services Office. The associate director also works in collaboration with the leadership team and has responsibility for understanding the policies, and performing the functions related to the departments included in Student Central, and for the development of new procedures, policies, and training related to work and operation of Student Central. A critical function of this position is to organize and direct the Enrollment Services Office daily operations, supervise and train full and part-time staff and student employees, and assist other departments on campus to resolve problems and issues related to students and procedures. The work is managerial in nature and performs highly complex work related to the administration of the Enrollment Services Office as a whole. This position operates at a fully-qualified level with an ability to work independently and in accordance with federal, state and college regulations, rules and policies.
This position allows telecommuting two (2) days per week. This is subject to change based on the needs of the department and the college.
Pay, Benefits & Work Schedule
Position Salary Range: $65,255/year - $91,314/year
The salary will be determined based on candidate's qualifications and related experience. Typically, new hire starts no higher than $71,770/year based on Bellevue College Exempt salary schedule.

About the Department
The Enrollment Services Office is one of four departments that make up Student Central. Student Central is a single service area for departments identified as Enrollment Services, Evaluations and Graduation, Placement and Testing Services, and Financial Aid. The Enrollment Services Office houses the following programs, and has campus-wide responsibility related to these areas: Records and Grades, Washington State Residency, Admission to the College, and all Registration processes. These programs are distinct in areas related to Washington State law, regulations and reporting requirements.
Essential Functions
Perform, Organize, and Coordinate Operations for Enrollment Services
• Provide support and oversight for Program Specialists, part-time hourly and student employees
• Manage the Enrollment Services website, office schedule, including phones and virtual options, to ensure proper coverage
• Assist the Director in planning, setting goals, identifying and solving problems, clarifying expectations, and evaluating processes within the Enrollment Services Office
• Assist the Director with course roster and grading processes, and ensure accuracy and security of grades. Work with faculty and the campus community to maintain accurate course and grade data and information
Supervise, Train, Support and Develop Staff
• Supervise designated full-time staff. Select and hire staff, make recommendations for disciplinary action, approve/deny leave requests, evaluate employee performance on a yearly basis, resolve grievances in consultation with HR, establish office expectations, and take corrective action
• Build an effective team that is results driven and characterized by collaboration and cooperation
• Provide training, feedback, instruction, and encouragement to staff to enable continuous improvement and to promote optimum job performance. In collaboration with the Director, organize and provide training as needed to employees and other division staff associated with Student Central and Enrollment Services functions
• In collaboration with the Student Central Leadership Team, participate in the development of staff meetings and training, and periodically chair the staff group meetings
Perform, Organize and Coordinate Operations for Student Central
• Work with the leadership team to develop processes, policies, and procedures needed within Student Central
• Participate on the Student Central Leadership Team and collaborate with other team members to meet the needs and goals of Student Central, and the Student Affairs Division
• Co-manage the Student Central work schedule and assist staff with problem resolution related to students and to processes
Technical Support, Report Analysis and Compliance
• Provide technical support and serve as a technical resource for the student management system ctcLink (PeopleSoft), QLess (virtual queue management platform) and TargetX/Salesforce (CRM platform)
• Participate in SBCTC workshops and trainings and quarterly council meetings
• Provide support, oversight and management of functions related to transcripts, records requests, and registration
• Produce data reports and analysis related to student enrollment and admissions, manage job scheduling, and report distribution
• Ensure Student Centra is compliant with FERPA requirements, and report issues or concerns to the Director
• Perform other duties as assigned
Minimum Qualifications
• Bachelor's degree. Any combination of relevant education and/or experience may be substituted for the educational requirement on a year-for-year basis
• A minimum of three (3) years' full-time experience, or equivalent part-time experience, administering Enrollment Services programs in a higher education setting
• A minimum of two (2) years' progressive full-time experience, or equivalent part-time experience, leading or supervising other staff (may include part-time and student employees)
• Experience working as a subject matter expert (SME) in a Student Information System (SIS) such as PeopleSoft, Banner or Datatel, etc.
• Effective communication skills
• Experience working in a collaborative team environment with diverse employees and student/customer groups
• Demonstrated ability to understand and interpret detailed information and trouble shoot and problem solve academic and systems issues, with attention to detail
• Demonstrated ability think critically, be proactive, meet deadlines and prioritize time-sensitive work
Preferred Qualifications
• Master's degree in student affairs, student development, educational leadership or other related area
• Three(3) years' experience supervising full-time staff
• Experience working with people with physical and learning disabilities
• PeopleSoft Student Services and Financials experience (ctcLink)
• Experience in developing and implementing business processes and technology solutions
• Experience in Enrollment Services programs in the Washington State and Community and Technical College system
