As a Program Coordinator for the UCLA Middle School & Gifted Program, you'll serve as the central hub for all student activities while fulfilling the comprehensive responsibilities of a Resident Counselor. This dynamic leadership role combines program management with direct student supervision and mentorship. You'll oversee the entire activities program for middle school and gifted students, working collaboratively with administrators and residential staff to ensure seamless program operations and exceptional student experiences.

This position requires on-campus residency and 24/7 availability, with a primary focus on managing and implementing all aspects of the MS + Gifted Activities program while providing direct student supervision and support.

Dates: June 22nd - July 19th (potential extension opportunities are available through 8/9)

Essential Functions

Program Management & Coordination

  • Activities Program Leadership: Oversee all student activities for the MS + Gifted Program, serving as the primary coordinator for recreational, social, and enrichment programming
  • Administrative Collaboration: Work closely with the Director to ensure smooth operation of student activities and the program as a whole
  • Inter-Program Liaison: Collaborate with the UCLA High School Programming Coordinator to maintain program cohesion and shared resource utilization
  • Space Management: Manage all available spaces for recreation hour planning and implementation, as well as on-campus evening, weekend, and holiday activities
  • Staff Supervision: Support and oversee Resident Counselors in the implementation of activities and programming

Daily Operations Management

  • Recreation Hour Coordination: Manage daily recreational activities including space allocation, student sign-ups, attendance tracking, and supervision
  • Residential Staff Support: Provide ongoing activities support and guidance to residential staff members
  • Evening & Weekend Programming: Create, plan, and implement comprehensive on-campus evening and weekend activities
  • Off-Campus Trip Management: Plan, coordinate, and implement all off-campus excursions and educational trips
  • Resource Management: Oversee management, inventory, and storage of all activities materials and supplies
  • Budget Oversight: Manage the activities budget and procurement of necessary supplies

Communication & Documentation

  • Parent Newsletter Management: Coordinate with other administrators to manage parent newsletter content and distribution
  • Daily Memo Coordination: Collaborate with administrative team to manage daily memo communications
  • Photo Management: Oversee camp photography and create final slideshow presentations for students and families

Student Supervision & Support (Standard RC Responsibilities)

  • Policy Adherence: Follow guidelines outlined in the Employee Handbook and Staff Manual
  • Student Supervision: Oversee students' daily and weekend schedules, including academic, recreational, and social activities
  • Emergency Response: Handle emergencies and provide assistance as directed, including frequent communication with leadership, nursing staff, and residential team regarding medical needs
  • Safety & Well-being: Ensure the safety and holistic well-being of assigned students under guidance of the leadership team
  • Residential Life: Facilitate positive residential experiences by managing operations and creating supportive environments
  • Role Modeling: Demonstrate positive behavior and serve as a role model for students and staff
  • Student Support: Assist students with academic, socio-emotional, and social challenges, including tutoring and college life insights
  • Problem-Solving: Proactively address and resolve student and facility issues
  • Social Engagement: Join students for meals and social activities to foster mentorship relationships

Schedule & Location

  • Location: On-campus residency required throughout the entire program duration
  • Orientation: Attend paid staff orientation five days prior to program start with full engagement and participation required
  • Work Schedule: Maximum flexibility required due to dynamic nature of work; available 24/7 for student support, emergency response, and program activities
  • Time Off: One day off provided for every two weeks on campus
  • Commitment: Living on campus and working around the clock with varied, unpredictable hours based on program needs

Education, Experience & Qualifications

Required

  • Age Requirement: Must be at least 20 years old by program start (21 years old for certain locations)
  • Education: Completed or currently pursuing a four-year university degree
  • Experience: Previous experience in academic, tutoring, mentoring, or recreational roles with students
  • Program Management: Demonstrated experience in program coordination, activity planning, or similar organizational roles
  • On-Campus Residency: Ability to reside on campus for entire program duration
  • Background Check: Employment contingent upon satisfactory background check
